Job Profile

1. Greeting Visitors:
Welcome guests, clients, or visitors in a polite and friendly manner.
Guide visitors to the appropriate areas within the organization.
Notify the concerned person of the visitor's arrival.
2. Answering Phone Calls:
Answer incoming phone calls, directing them to the appropriate departments or individuals.
Take messages and ensure timely delivery.
Respond to inquiries or provide basic information about the organization or services.
3. Managing Appointments:
Schedule and confirm appointments or meetings.
Maintain an organized calendar for executives or departments.
Ensure proper coordination and timing for meetings or events.
4. Handling Correspondence:
Receive and sort incoming mail, packages, and deliveries.
Prepare outgoing mail and ensure timely dispatch.
5. Administrative Support:
Assist with basic administrative tasks such as filing, data entry, and managing office supplies.
Maintain office records and documents as needed.
Assist in other clerical tasks or office management as required.
6. Maintaining Office Environment:
Ensure that the reception area is clean, organized, and well-maintained.
Ensure that necessary office equipment (like printers or copiers) is functional.
7. Security:
Ensure security protocols are followed, such as logging visitor details or issuing visitor badges.
Monitor access control and report suspicious activity, if necessary.
